PRIVACY STATEMENT

The Pregnancy & Parents Centre is committed to protecting your privacy. This statement describes how we will collect and use personal information. The terms of the statement may change, so please refer back to it from time to time.

Under the Data Protection Act 1998, we have a legal duty to protect any information we collect from you. We use appropriate technologies to safeguard your details and maintain security standards to prevent unauthorised access to it.

WHAT INFORMATION DO WE COLLECT AND HOW DO WE USE IT?

We obtain personal information from you and use it as follows:

Information Requests

We use contact information from web forms, via email, mail and verbally to send you information that you have requested or to provide you with a service,  items for hire or information about events. Your contact information is also used to contact you when necessary, for example, to fulfil a query or to provide a service.

Donations & Hire

Any financial donations you make to us or items you hire from us,  will require personal and financial information to be provided. We will collect your contact information (such as contact details), financial information (such as account numbers) and health information (see section: ‘Applying for Services’ below).

Contact, financial and health information from enrolment forms, gift aid forms or general enquiries are used to provide services and fulfil the process of monetary transactions. All information that is collected is held securely and deleted on an ongoing basis.

We may share your personal and health information with the facilitator of your group once you have enroled which will allow them to correspond with you.  We will not share your personal information with other members of the group without first seeking your explicit agreement.

We will not sell or exchange your details with other organisations other than where we have a duty to share your information with third parties, regulatory or law enforcement agencies if we believe in good faith that we are required by law to disclose it in connection with the detection of crime, the collection of taxes or duties, in order to comply with any applicable law or order of a court of competent jurisdiction, or in connection with legal proceedings.

Applying for services

We will collect data about you, both personal data (such as your name and contact details) and also sensitive personal data (such as information about your health and wellbeing). The information will be stored, processed and used in the following ways:

  • Providing and administering our services
  • To answer your questions and enquiries
  • To ensure we support your needs during pregnancy, postnatally and as your family grows.
  • To keep you abreast of any services or events that we feel may be of interest to you.
  • To seek feedback from services and events you have attended, for the purpose of evaluating groups we are running or events we hold.  

Volunteering or seeking employment with us

We will collect data about you, both personal data (such as your name and contact details) and also sensitive personal data (such as information in your CV). The personal data and sensitive personal data will be stored, processed, used and disclosed by us in the following ways:

  • To facilitate the recruitment process of either volunteer positions or job applications.
  • To answer your questions and enquiries.

Cookies

Our website uses what are called “Necessary cookies” as they are required for the basic functioning of the website and they are deleted when you leave the website. The data held may contain personal information (an IP address and/or cookies). We do not link IP addresses to individuals. We do not provide this data to third parties.

Our website also provides access to third party sites if you give your explicit approval. They will have their own cookie rules. We store a longer term “Preference cookie” to remember your preference to access this third party site.

Information Security

We use cloud based systems to process our data and, as such, this data may be processed outside of the EEA. We adopt the Information Commissioners approved measures when we process outside of the EEA which means that all processing conducted in a location outside of the EEA is carried out in accordance with European Data Protection regulations.

All information you give to us is stored on our secure servers. Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures to protect your data.
